Real quickly we are going to talk about filing authority and data entry authority. When you look at the user accounts, you can have filing authority and data entry authority on or off for any of the specific users in the platform. What does that mean? When you create a new account, that person can have the authority to put the filing on the report so they are going to put the case number into the report itself or a person can have the authority to do the data entry step and then they can also be an exception handler.

What these things mean, filing authority, you are going to type the case number onto the report so it is another step. That person does not have to review reports, it can be just a regular administrative clerk but they would have a user account and they would get reports that are ready for them if they have to put the case number on it. The same person or a different person can also be doing data entry. Obviously if you check boxes they are going to be doing both steps.

For data entry, that person could be responsible for, in some agencies, copying and pasting data into their records system. Some it is hit print, putting it into a paper jacket and filing the report. It just depends on how the workflow is working at that department.

This exception handler, this is really for RMS integration so maybe it is that some people at the agency have a good working knowledge of the records system that is employed. Some records platforms maybe would take a report nine times out of ten; some most are ten out of ten. Every once in awhile a report goes to an RMS and for some reason the RMS does not like some of the responses and it might send it back. If it gets sent back it would be going to the exception handler. That person is going to get a notification on the report and it is going to explain how the correct the issues and then they can push it back to the RMS after they make the corrections. These are user account settings. On the workflow is where this happens.

This agency is set up for no RMS integration and they are set up for two steps of review with filing authority and data entry authority enabled.

If an agency has RMS integration they would potentially have the filing authority if there is no integration with CAD.

If there is integration to CAD they would not be using filing authority and this is if CAD is giving the case number. You would select your RMS from the dropdown box. You would enter any of the connection information that is needed or that is done by Ten8Tech, it just depends on the RMS deployment. Then when we look at if the case number is going to be pulled from that existing RMS or if it integration into an RMS and CAD and we deal with that on a case by case basis. The flexibility in the platform to accommodate all the different workflows and integration requests exists through the workflow settings section. That is what filing authority is and data entry authority and with that we are going to conclude this video.
